🔑 Key and Building Access Request
The Blinn College District carefully manages physical keys and electronic building access to protect students, employees, equipment, and facilities. This page explains how employees request keys or access credentials, what the approval process looks like, and what responsibilities come with being issued a key.

Note for Residential Students (Brenham Campus): Keys for student housing on the Brenham campus are issued and managed by the Student Housing / Housing and Residence Life department. All requests for housing keys and all reports of lost or stolen housing keys must follow the processes and procedures outlined by Student Housing, not the Facilities key request form.
Before You Begin
All key and access card issuance is governed by the Blinn College District’s Building Access Key and Card Regulation. Keys and access cards may only be issued with proper approvals, and every employee is responsible for the security of the keys or credentials assigned to them.
- Keys and access cards may not be duplicated or loaned.
- Lost, stolen, or damaged keys/cards must be reported within two business days.
- High-level keys (such as exterior & master keys) require approval from Executive Administration.
- All keys and access cards must be returned when employment ends or job duties change.
How to Request Keys or Building Access
All employee key and access requests must be submitted through the official online form by the employee’s supervisor:

Best Practices for Filling Out the Form
To help Facilities process requests quickly and accurately:
- List only one building, room, or door per line on the form.
- If you run out of space, your supervisor may submit a second form.
- Provide clear, accurate room numbers and building names.
- Use the “Reason for Key Request” box to explain why access is needed.
Understanding Key Types
When submitting a request, it helps to understand the level of access each type of key provides. Facilities will ultimately determine the exact keying or access configuration needed, but the following terms are helpful:
Exterior Door Key
An exterior door key provides access to all outside entrance doors for a specific building. This is a higher-security key level because it controls access to the entire facility after hours.
Due to its importance, an exterior door key request will be reviewed and approved through Blinn’s Executive Administration in accordance with the key regulation.
Master Key
A master key is a very high-level key that can unlock every door in a building (or in some cases a group of buildings). Because of the significant security risk, this key level is strictly controlled.
Master key requests are subject to review and approval by Executive Administration, including the Executive Vice Chancellor and Chancellor, per administrative regulation.
For all requests, the Facilities team will determine:
- The appropriate type of key or access credential (individual key, exterior key, master, or card).
- The number of keys or credentials required to meet the request.
Approval and Production Timeline
After the supervisor submits the Key Request Form, it routes through the required approvals (e.g., Vice Chancellor, Executive Dean, Executive Administration for higher-level access). Facilities cannot issue keys or credentials until all approvals are complete.
Once Approved
- The Facilities team receives the approved request.
- Facilities begins production of the keys or access credentials.
- In most cases, keys/access will be ready within 5 business days of receiving the approved request.

Need it sooner? If an expedited timeline is required, please:
- Include the urgency and date needed in the “Reason for Key Request” field on the form, and
- Contact your leadership chain and the appropriate Facilities department directly to communicate the need.
Picking Up Keys or Access Credentials
Once keys or access credentials are ready, the Facilities team will contact the employee.
- The employee assigned to the keys must pick them up in person.
- Proxy pickup is not allowed for security reasons.
- The employee will be required to sign a receipt for the keys or credentials.
After signing for the keys or access credentials, it is the employee’s responsibility to:
- Maintain possession of their assigned keys/credentials at all times.
- Keep keys secure and avoid leaving them unattended or accessible to others.
Lost, Stolen, or Unassigned Keys
Lost or stolen keys pose a significant security risk, especially when they control critical areas, exterior doors, or are master-level keys.

All lost, stolen, or damaged keys must be reported in accordance with the Blinn key regulation. Employees may be responsible for replacement costs and, in some cases, for rekeying expenses.
Keys Not Officially Issued to You
If you believe you have keys in your possession that were not officially issued to you:
- Contact Facilities immediately.
- Work with Facilities to confirm your approved key access.
- Return any keys that are not listed as assigned to you.
Facilities reserves the right to perform key audits to ensure employees:
- Still have possession of their assigned keys, and
- Are not holding keys that are unassigned or unauthorized.
Access Control Credentials (Electronic Access)
Blinn is in the process of moving toward electronic access control where possible. In buildings with access control systems:
- Employees may be issued access cards or electronic credentials instead of, or in addition to, physical keys.
- These credentials are requested using the same Key Request Form and follow the same approval process.
- Employees are responsible for the security and return of access cards, just like physical keys.
When You Leave Blinn or Your Job Duties Change
When employment ends or your work location/access needs change, it is your responsibility to:
- Return all unneeded keys and access credentials.
- Submit a new request if you need different access for a new role or location.

Important: Keys must be returned to the Facilities Department or Human Resources. Supervisors and co-workers should not permanently keep keys from departing employees. If a departing employee leaves keys at their workstation or with a supervisor/co-worker, notify Facilities and Human Resources so that the keys can be properly recorded and secured.
