Overview
To download and print PDFs in new Teams, you generally need to download the file first or open it in a browser/app, as direct printing from the Teams interface is limited; find the PDF in Files or OneDrive, use the "More actions" (ellipsis) menu to Open in browser/app, or Download, then use your browser's or PDF viewer's print function. For better integration, consider adding the Adobe Acrobat app for Teams.
Step by Step Guide
- Navigate to Files: Go to the specific Channel or your OneDrive within Teams.
- Find the File: Locate the PDF you want.
- More Actions: Hover over the file and select the three dots (More actions).
- Download: Choose Download to save it to your computer.
- Set Download Location (Optional): In Teams Settings > Files and links, you can change where files are saved.
Method 1: Open in Browser/App (Recommended for quick printing)
- In the Files tab, find your PDF.
- Click the More actions (three dots).
- Select Open in browser or Open in app (if you have a PDF reader installed).
- Once it opens in a new tab/window, use the browser's print command (usually Ctrl+P or the browser menu) to print.
Method 2: Using Adobe Acrobat App (For collaboration & easier printing)
- Add Tab: In a channel, click the + (Add a tab) icon.
- Search: Find and select Adobe Acrobat.
- Connect: Authorize the app and choose your PDF from Teams, OneDrive, or upload.
- Print/Comment: Use the Acrobat tools within the tab to comment or print directly.
Method 3: Download & Print (For offline use)
- Download the PDF as described above.
- Open the downloaded file with your standard PDF reader (like Adobe Reader) and print from there.
Helpful Hints
- Apostrophes: If downloads fail, it might be due to apostrophes in the file path; try the web client or SharePoint instead.
- No Direct Print: Remember, direct printing from within Teams for PDFs isn't built-in; downloading or opening in another app is key
